Job Description: Program Coordinator, Volunteer Center and Senior Center

Summary Statement: The Volunteer Center Program Coordinator provides volunteer referrals, provides support for non-profit organizations, assists with communication and performs a range of administrative duties to support key functions of the Volunteer Center and the mission of Community Thread. A portion of this position will be spent assisting the Senior Center program with volunteer and data management functions.

    Essential Job functions
  • Connect volunteers to opportunities to serve in the four county St. Croix Valley area
  • Conduct Agency relations and maintain the 1-800-Volunteer.org web based database program
  • Coordinate volunteer promotions efforts
  • Maintain data and information for the Volunteer Center program
  • Suggest and explore strategies and opportunities for program marketing and fundraising
  • Recruit, train, coordinate and supervise volunteers for the senior center program
  • Coordinate data management for the Senior Center program
  • Assist with Senior Center program activities
    Specific Duties
  • Manage the referral process for volunteer inquiries
  • Develop and distribute bi-weekly volunteer opportunities to local media, schools, and businesses on behalf of organizations who engage volunteers
  • Assist Program Director in managing a variety of aspects for special volunteer initiatives (Rake A Difference Day, Summer Stretch, Holiday Bureau, Spring Into Service Event and other programs)
  • Create monthly Volunteer Newsletter and distribute to community
  • Assist with the Volunteer Leadership Network meetings and trainings
  • Maintain volunteer database to use as a source for volunteer recruitment and fundraising
  • Ensure that volunteers are adequately trained and recognized for their contributions
  • Develop promotional materials including flyers, brochures, and website postings for both Volunteer Center and Senior Center programs
  • Interview and screen potential volunteers
  • Assist with Senior Center fundraising initiatives and record all contributions
  • Support the web-based database and the Community Thread website as it pertains to the Volunteer Center and Senior Center activities
  • Serve as an active team member of Community Thread by supporting the operations, activities, and committees of the agency
    Job Requirements:
  • Associate degree or equivalent and/or 1-3 years related experience, bachelor’s degree preferred. Additional experience in volunteer management preferred
  • Interest, experience, and commitment for volunteerism and community building
  • Solid organizational skills with attention to detail, accuracy, and follow-through in an independent, responsible manner
  • Ability to communicate effectively, both verbally and in writing with a diverse population in the St. Croix Valley
  • Ability to represent Community Thread in a professional manner
  • Willingness to travel to non-profit and public agencies in Washington County/valid driver’s license required
  • Strong computer skills, including creation and use of databases and experience with web based applications
  • Initiative and ability to be a self-starter
    Benefits Information:
  • Position is .75 FTE (28 Hours per week)

Job Description: Program Manager, Medical Reserve Corps

Summary Statement: The Medical Reserve Corps Program Manager manages the contract responsibilities for the Washington County Medical Reserve Corps.

Reports to: Executive Director

    Essential Job functions
  • Supervise all volunteers and staff working with this program
  • Ensure that the program’s activities meet specified objectives
  • Plan and develop methods and procedures for implementing the Medical Reserve Corps initiatives and annual workplan
  • Direct and coordinate all activities related to the specific program including all stages of volunteer management, policy and procedure development and documentation, and coordination with WCPHE staff
  • Evaluate program performance and make recommendations for change
  • Report program activities and outcomes to the Executive Director and Contract Manager with Washington County Public Health and Environment
  • Manage program expenditures in accordance with the program budget
  • Develop new strategies and explore opportunities for program marketing, volunteer recruitment, and public education about emergency preparedness
    Specific Duties
  • Ongoing recruitment, orientation and training of medical professionals and support staff for the Washington County Medical Reserve Corps
  • Work in cooperation and assist in marketing of MDH’s “Minnesota Responds! Health professional registry
  • Verify credentials of Medical Reserve Corps volunteers
  • Manage local and state databases of Medical Reserve Corps volunteers
  • Assist WCPHE in matching volunteers to identified volunteer positions
  • Attend MRC coordinators meetings and serve on work groups as needed
  • Retain volunteers with a system of e-mails, updates and newsletters as needed
  • Communicate with other local volunteer agencies on emergency management issues
  • Attend monthly meeting with WCPHE emergency management team
  • Support the CT Website as it pertains to the MRC
  • Serve as an active team member of CT by supporting the operations and activities of the agency
    Job Specifications:
  • Bachelor’s degree or equivalent, plus one to three years of related program experience
  • Interest and energy for volunteerism, volunteer management, and community building
  • Ability to communicate effectively and conduct interactions in a professional manner
    Benefits Information:
  • Position is .8 FTE (30 Hours per week).

Courage Center - Camp Courage Site & Hospitality Services Manager

The Courage Center Camps experience facilitates the development of personal strengths, such as self esteem, honesty, responsibility and feeling in control of one’s life. Campers also have opportunities for social interactions, including friendship, positive peer and adult role models, and learning to resolve conflicts peacefully and feel valued by others.

This position is located at Camp Courage, which lies on 305 acres of beautiful lakeshore, woods and fields near Maple Lake, Minnesota (about 50 miles west of the Twin Cities).

Purpose of this job:
To oversee all aspects of the Camp Courage facility, food service, housekeeping, maintenance and retreat services. Position includes hiring, training, supervising and evaluating all staff in these service areas.

1. Integrated Planning and Budgeting: Responsible for planning and implementing the budget for food service, housekeeping, retreat services and maintenance of all facilities to ensure that highest standards are established and upheld and budget and revenue goals are met or exceeded.

2. Strengthening the Culture of Excellence: Focus on excellent customer service for all who use the Camp Courage facility. Create a positive work environment by practicing "evidence-based" leadership practices.

3. Recruiting, Retaining and Developing Staff: Responsible for developing cross trained team of staff who are able to provide excellent customer service to all summer and non-summer customers.

4. Managing Departmental Operations: In addition to accountability for all site functions, this position is responsible for: working with Marketing staff to promote and market retreat services, retreat service scheduling, menu planning, food ordering, general purchasing and or contracting these services from others who will work within budget and meet or exceed our standards of excellence. Serve as Courage Center ambassador in the community.

5. Quality Management: Ensure compliance with all applicable legal requirements and accreditation standards. Develop a quality plan, monitor outcomes and make performance improvemnts as indicated.

6. Project Management: Lead or manage strategic projects that meet stated outcomes related to costs, quality and time.

7. Other: Work with the Courage Center Camping Team and other Courage Center departments and employees to develop or strengthen programs and intra-departmental projects. High level of interaction with Customers, campers and families, donors, vendors, organization-wide managers and other internal partner groups and volunteers

Qualifications

Education/Work Experience

Required: Minimum of two year degree in hospitality management, food service management, outdoor/recreation management, or equivalent.

Experience with purchasing, budgeting and inventory control.

Strong maintenance background with demonstrated experience in facility management.

Preferred: Four-year degree in hospitality management or related field such as food service, outdoor education, recreation or equivalent.

Demonstrated and documented leadership and management skills

Customer focus, presentation skills, written communication skills

Demonstrated leadership experience in a camp environment

License/Certifications

Required: Valid drivers license

Preferred: Certified Pool Operation certification, Food Service Management certification

Other

Must live on site in Camp Courage housing.
